01Who we are

Ascend Esports ("Ascend", "we", "us") is an esports coaching and wellness academy located at L2-312, Sport Society, Mirdif, Dubai, United Arab Emirates. This policy explains how we handle personal data collected through our website, our advertising campaigns, our events and our day-to-day operations, in line with applicable UAE data protection law, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL).

02Data we collect

Depending on how you interact with us, we may collect:

• Contact details: your name, email address and phone number.
• Enquiry details: your child's age, program or camp of interest, preferred schedule, and anything you include in a message field.
• Business (B2B) details: company name, job title, team size and business contact information when you enquire about corporate wellness, partnerships or school programs.
• Technical data: device and browser information, approximate location, and interaction data collected via cookies and advertising pixels (see Section 6).

We collect only what we need to respond to you and deliver our services.

03How we collect it

• Website forms: enquiry, trial-booking and consult forms on this website, delivered to us via a secure form-processing service.
• Advertising lead forms: when you submit a lead form in our campaigns on Meta platforms (Facebook and Instagram) or other advertising platforms, for example, for summer camps, long-term courses or corporate programs, the platform passes your submitted details to us.
• Direct contact: when you call, WhatsApp, email or visit us at the arena.
• Events: registrations for tournaments, workshops and community events.

04Why we use it

• To respond to your enquiry and schedule trials, consults or meetings.
• To enrol and manage participation in coaching programs, summer camps, long-term courses and events.
• To prepare and follow up on corporate wellness and partnership proposals.
• To send you relevant updates and offers about our programs, where you have consented or where otherwise permitted, you can opt out at any time.
• To measure and improve our website, campaigns and services.
• To meet legal, safety and record-keeping obligations.

05Where your data is stored

Data you submit is stored on our secure servers and in our customer relationship management (CRM) system [BITRIX24], where access is restricted to authorised Ascend team members who need it to handle your enquiry or manage your enrolment. Lead data received from advertising platforms is transferred into the same protected systems and is not left accessible on third-party dashboards longer than operationally necessary.

We do not sell your personal data, and we never share it with third parties for their own marketing.

06Advertising & cookies

We use advertising and analytics tools, such as the Meta Pixel and similar technologies from other platforms, to measure campaign performance and show relevant ads for our camps, courses and corporate programs. These tools may set cookies or collect device identifiers when you visit our website or interact with our ads.

You can control this through your browser's cookie settings and through the ad-preference controls offered by the relevant platforms (for example, Meta's Ad Preferences). Where required, we will ask for your consent before setting non-essential cookies.

07Children's data

Our programs serve young players aged 7 to 16, and we take their privacy seriously. Enrolment and enquiry information about a child, such as their age and program interests, should be provided by a parent or legal guardian. We do not knowingly collect personal data directly from children without verifiable parental or guardian consent, and our advertising is directed at parents, guardians, schools and companies, not at children.

If you believe a child has provided us personal data directly, contact us using the details in Section 12 and we will delete it.

08Sharing your data

We share personal data only with:

• Service providers that help us operate, such as our form-processing service, CRM and hosting providers, and the advertising platforms through which you contacted us, each bound to process data only on our instructions.
• Authorities, where disclosure is required by applicable law or to protect the safety of our players, staff or facilities.

09Retention

We keep personal data only as long as needed for the purposes above: enquiry data that does not lead to enrolment is retained for 3 years; enrolment and billing records are retained as required by UAE law. When data is no longer needed, we delete or anonymise it.

10Your rights

Subject to applicable law, you may request:

• Access to the personal data we hold about you or your child.
• Correction of inaccurate or incomplete data.
• Deletion of data we no longer need to keep.
• Withdrawal of consent to marketing at any time, every marketing message we send includes an opt-out, or you can simply tell us.

To exercise any of these rights, contact us using the details in Section 12. We will respond within a reasonable timeframe and in accordance with the PDPL.

11Security

We protect personal data with technical and organisational measures appropriate to its sensitivity, including encrypted transmission of form submissions, restricted access to our servers and CRM, and staff limited to the data they need for their role. No system is perfectly secure, but if a data incident ever affects your information, we will notify you and the relevant authorities as required by law.
